By purchasing coaching from Nomad HQ Training, LLC dba Nomad Mixed Combat HQ (“Nomad”), you agree to this Coaching Client Agreement and the terms of the coaching program you purchased.
1. TRAINING CONDUCT, DRESS CODE & EQUIPMENT
Conduct & Safety: Clients must follow all coach instructions, train safely and responsibly, respect training partners, and inform a coach of injuries, physical limitations, open wounds, suspected skin infections, or other conditions that may affect safe participation. Nomad may restrict participation or require medical clearance when appropriate. No sparring or contact training without coach approval, proper protective equipment, and groin protection. Aggressive, threatening, reckless, racist, discriminatory, derogatory, or otherwise disrespectful conduct will not be tolerated. Failure to follow coaching or safety instructions may result in immediate dismissal from training or termination of coaching.
Dress Code: Training attire is black-on-black: either a plain black shirt with no logos or an official Nomad Mixed Combat or Nomad Krav Maga training shirt, with black shorts, pants, leggings/yoga pants, or other approved training bottoms. Clothing may not have exposed zippers, large buttons, sharp/hard hardware, or anything else that could damage the mats or cause injury. Clients using training pistols must wear clothing with belt loops and a proper belt capable of securely supporting approved training equipment and an approved holster.
No street footwear is allowed on the mats. Only approved wrestling or mat shoes dedicated exclusively to indoor mat use may be worn. Bare feet are not permitted in restrooms or the weight room. Fingernails may not extend beyond the fingertips. Jewelry and piercings may not be worn during training.
Hygiene: Clients must arrive clean and maintain appropriate personal and equipment hygiene. If participating in multiple consecutive sessions, a clean, dry shirt is required for each session and must be changed between sessions. Training gear must be properly cleaned and sanitized after each use and may not have an offensive odor. Nomad may prohibit the use of gear deemed unsanitary and require replacement when necessary.
Clients may not train with uncovered wounds, active bleeding, or a suspected contagious skin condition without coach approval. Medical clearance may be required before returning to training.
Equipment & Training Weapons: Required equipment must be professional quality and approved or provided by Nomad. Requirements may vary by activity and may be updated as training needs change. Common equipment includes approved 16 oz. boxing gloves, Muay Thai-rated shin guards, mouthguard, groin protection, and 7 oz./puffy MMA gloves as applicable.
Clients using training pistols must provide their own approved training pistol and approved holster. Nomad-provided training pistols are intended for introductory use. Training knives and all other training weapons must be approved by Nomad. Live firearms, ammunition, sharpened/live blades, and other real weapons are prohibited in training areas. Training weapons may only be incorporated into training with instructor approval and according to all coaching and safety instructions.
Facility Rules: Nomad is a tobacco-, smoking-, and vaping-free campus. No smoking, vaping, tobacco use, or alcohol consumption is permitted on the property. Clients may not participate while under the influence of alcohol, recreational drugs, or any substance that impairs safe training, and may not arrive with alcohol on their breath.
Phones may only be used on the mats with coach approval. No food or gum is permitted on the mats. Water is permitted in a closed, spill-resistant container. Food, beverages, or other items that may spill, leave crumbs, or damage or soil the training facility are not permitted in training areas.
2. COACHING PROGRAM & ACCESS
Nomad is an 18+ coaching program, not an open-access gym membership. Your purchased coaching program determines your price, term, included services, and access.
Standard coaching currently includes up to 3 scheduled sessions per week (Monday–Sunday) unless your program provides otherwise. Each scheduled session attended counts as one session, even when multiple sessions are attended on the same day. Unused sessions do not roll over.
Access is limited to approved coaching sessions, appointments, and authorized hours. Schedules, instructors, session formats, programs, equipment, and availability may change based on business needs. Nomad does not guarantee specific class times, instructors, programs, or a minimum number of sessions.
3. PAYMENTS & AUTOMATIC BILLING
You authorize Nomad to automatically charge your payment method on file for amounts due under your purchased coaching program. Recurring payments are generally processed on the same calendar day each month. You agree to maintain a valid payment method on file and authorize reasonable payment retries and payment-method updates.
Failed payments receive a 3-day grace period during which you may continue training. Access may then be suspended until payment is brought current, and Nomad may take appropriate action on accounts remaining unpaid for 7 days.
All purchases and payments are non-refundable. You agree not to initiate a chargeback for a valid, authorized charge covered by your purchase and to contact Nomad first regarding any billing dispute.
Nomad may change recurring coaching rates with at least 30 days’ written notice by text or email.
4. CANCELLATION & FREEZES
Cancellation before your first automatic monthly coaching payment does not require 30 days’ notice. After that, cancellation requires 30 days’ written notice and completion of an exit interview. Any payment due during the notice period remains due.
Cancellation requests must be submitted to [email protected] or through a future Nomad-approved client portal. Cancellation is not effective until the required exit interview is completed.
Month-to-month coaching may be frozen for a minimum of 30 days and a maximum of 3 months per year for a $49 monthly freeze fee, paid in advance for the full requested freeze period (for example, a 3-month freeze requires a $147 freeze fee paid in advance). Paid-in-full programs cannot be frozen. For fixed-term programs paid monthly, regular payments continue during an approved freeze, and the approved frozen time is added to the end of the coaching term.
5. ANNUAL COACHING CALENDAR
Nomad operates on an annual coaching calendar and does not guarantee 52 uninterrupted weeks of coaching. Normal planned closures include federal holidays, the week of Christmas, and one Training & Improvement Week per quarter for continuing education, staff/instructor development, seminars, collaborations, program or facility improvement, business travel, and other operational needs.
Nomad may also change schedules, cancel sessions, or temporarily close when necessary due to weather, emergencies, maintenance, illness, safety concerns, or other operational circumstances.
Scheduled or temporary closures do not create refunds, credits, prorated payments, extensions, or pauses in coaching fees.
6. BACKGROUND CHECKS, SAFETY & CONDUCT
Clients must complete an approved background check before participating and annually thereafter. The annual background-check fee is currently $49 and may change to reflect provider costs. Nomad may require additional screening when reasonably warranted.
Nomad determines continued suitability for the coaching program and may deny, restrict, suspend, or terminate coaching based on safety, conduct, criminal history, dishonesty, refusal to complete required screening, or other legitimate safety or business concerns. Payments already made remain non-refundable following suspension or termination.
Personally owned firearms, knives, or other weapons may not be brought into training areas. Training weapons, replicas, SIRT trainers, and similar equipment may only be used with coach authorization.
7. PARTICIPATION, MEDIA & TRAINING MATERIALS
Completion of Nomad’s current Assumption of Risk/Liability Waiver and Media Release is required before participation. Training sessions and activities may be photographed, audio/video recorded, or livestreamed in accordance with the Media Release.
You are responsible for determining your ability to participate safely. Nomad may require medical clearance before allowing or resuming participation. No particular fitness, self-defense, weight-loss, rank, certification, or other result is guaranteed. Nutrition information is educational and is not medical or dietetic treatment.
Nomad’s curriculum, videos, training materials, client accounts, and other intellectual property are for personal use only. Unauthorized copying, distribution, publication, commercial use, teaching, resale, or sharing of login credentials is prohibited.
8. GENERAL COACHING POLICIES
You agree to follow Nomad’s facility, equipment, safety, scheduling, and coaching policies as updated from time to time. Coaching access is personal and non-transferable and does not provide unrestricted or open-gym access to the facility. Clients may only enter or participate during authorized coaching hours or approved appointments.
Nomad may update reasonable operational policies and this Coaching Client Agreement as business needs change. Material changes to recurring coaching rates will receive at least 30 days’ written notice.
You authorize Nomad to contact you by phone, text, and email regarding coaching, scheduling, billing, safety, closures, and your account.
If any provision of this Agreement is found to be invalid, illegal, or unenforceable, that provision will be limited or removed only to the extent necessary, and the remainder of the Agreement will remain in full force and effect.
Nomad may modify this Agreement and its coaching, facility, safety, and operational policies from time to time as business needs change. Material changes affecting recurring coaching rates will receive at least 30 days’ written notice by text or email. Nomad’s decision not to enforce a provision on one occasion does not waive its right to enforce that provision in the future. This Agreement, together with the terms of the coaching program purchased and any required Nomad waivers or releases, governs the client’s participation in Nomad coaching.
This Coaching Client Agreement is governed by Oklahoma law.
